- Key Responsibilities
- Assist in coordinating end-to-end onboarding activities for new hires across SEA&I countries, including pre-boarding communications, documentation collection, and system access setup
- Prepare and distribute onboarding welcome packs, ensuring a positive Day 1 experience aligned with Sanofi's employer brand
- Support the offboarding process including exit documentation, clearance coordination, final pay processing inputs, and system deactivation requests
- Liaise with IT, Facilities, and Finance teams to ensure seamless onboarding and offboarding transitions
- Maintain and update onboarding/offboarding trackers and checklists
- Perform accurate and timely data entry and updates in Sanofi's HR Information Systems (e.g., Workday, SAP SuccessFactors, or equivalent platforms used in the region)
- Process employee life cycle transactions including new hires, transfers, promotions, contract changes, and terminations in the HRIS
- Conduct regular data quality checks and audits to ensure accuracy and integrity of employee records
- Support the generation of standard HR reports and dashboards for regional HR teams and management
- Assist in testing and validating system updates or new HRIS configurations
- Prepare, process, and maintain employment-related documents including offer letters, employment contracts, contract amendments, confirmation letters, and certificates of employment
- Ensure all employee files (physical and digital) are complete, accurate, and maintained in compliance with local labor laws and Sanofi's document retention policies
- Manage the digital document management system, ensuring proper filing, version control, and accessibility
- Support the preparation of statutory documents required by local government and regulatory bodies across SEA&I countries
- Serve as a first point of contact for employee HR queries via the HR ticketing/case management system (e.g., ServiceNow equivalent)
- Respond to employee inquiries related to HR policies, processes, benefits, and employment documentation within defined Service Level Agreements (SLAs)
- Maintain a high standard of customer service, ensuring employees feel supported and valued throughout their interactions with People Services
- Contribute to the development and maintenance of HR FAQs and knowledge base articles
- Participate in People Services continuous improvement initiatives, identifying opportunities to streamline and automate HR processes
- Support the documentation and updating of Standard Operating Procedures (SOPs) and process maps for Employee Life Cycle activities
- Assist in HR project implementations, including system upgrades, policy rollouts, and regional HR initiatives
- Contribute to the digitization and automation of manual HR processes in alignment with Sanofi's HR transformation agenda
- Ensure all HR activities are conducted in compliance with local labor laws, statutory requirements, and Sanofi's internal policies and procedures across KL Hub covered countries
- Support internal and external HR audits by preparing required documentation and evidence
- Assist in monitoring compliance with data privacy regulations (e.g., PDPA, GDPR principles) in the handling of employee personal data
- Flag any compliance risks or anomalies to the People Services team lead promptly
- Work closely with HR Business Partners, Talent Acquisition, Learning & Development, Finance, Legal, and IT teams to ensure seamless HR service delivery
- Collaborate with regional and global People Services teams to share best practices and ensure consistency in service delivery standards
- Support country HR teams with local statutory requirements and government reporting obligations
- Required Qualifications
- Bachelor's degree in Human Resources Management, Business Administration, Psychology, Social Sciences, or a related field
- Fresh graduates or candidates with up to 1 year of relevant internship/work experience are encouraged to apply
- Prior internship or project experience in HR, People Operations, or a related administrative function is an advantage but not mandatory
- Exposure to HR processes or shared services environments is a plus
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) — intermediate Excel skills (VLOOKUP, pivot tables) preferred
- Familiarity with HRIS platforms (e.g., Workday, SAP SuccessFactors, Oracle HCM) is an advantage
- Experience with ticketing/case management systems (e.g., ServiceNow) is a plus
- Basic understanding of data management principles and HR reporting
- English — Professional proficiency (written and spoken) is mandatory

- Comfortable working with numbers and generating reports from HR systems

- Ability to manage expectations and communicate clearly on timelines and outcomes
- Demonstrated ability to handle sensitive and confidential employee information with the utmost discretion and professionalism
