Your role

Key responsibilities in your new role

• Manage the end-to-end process of work pass applications, renewals, cancellations, and appeals e.g., Employment Pass, Dependent Pass, Work Permit, etc
• Liaise with relevant vendors and government agencies (e.g., the Immigration Department of Malaysia, Expatriate Services Division (ESD), etc.) to ensure timely approvals and compliance
• Provide guidance to internal stakeholders and new hires on work pass eligibility requirements and application procedures
• Maintain accurate records and monitor work pass expiration dates to ensure timely renewals, cancellations, or terminations
• Ensure all processes and documentation comply with local employment laws and immigration regulations
• Assist with audits, inspections, and compliance reviews related to work passes and immigration matters
• Stay updated on changes in immigration and labor laws and communicate relevant updates to internal stakeholders
• Support the HR Talent Acquisition team in the hiring and onboarding of foreign employees by expediting work pass application processes
• Handle work pass-related inquiries and issues with professionalism, discretion, and efficiency
• Coordinate temporary and long-term accommodation arrangements for foreign hires
• Raise and manage Purchase Requisitions (PRs) in accordance with company procedures
• Verify invoices, coordinate approval processes, ensure accuracy, and collaborate with the Finance team to facilitate timely payment processing
• Fluent in English; proficiency in Bahasa Malaysia and Thai is an added advantage
• Must be willing and able to travel independently within Malaysia for immigration-related matters e.g., visits to Immigration Offices, police stations, government agencies, etc
  
  

Your profile

Qualifications And Skills To Help You Succeed

• Bachelor's Degree, Post Graduate Diploma, or Professional Degree in any field, preferably in Human Resources, Business Administration, or a related discipline
• 0 to 1.5 years of relevant working experience is preferred
• Candidates with a Diploma qualification should possess a minimum of 10 years of relevant working experience
• Strong customer service and stakeholder relationship management skills
• Proficient in Microsoft Office applications, including MS Excel, MS Word, and MS PowerPoint
• Strong problem-solving, analytical, and organizational skills
• Ability to proactively identify potential issues and escalate them to the Manager in a timely manner
• Fast learner with the ability to quickly acquire new knowledge and skills
• Hands-on experience and working knowledge of HR systems, such as SAP, GMDS, and Applicant Tracking Systems (ATS), including Umantis and Eightfold, would be an added advantage
  
  

Note: 1-year renewable contract under 3rd party payroll partner and entitled to benefits according to the partner company
