The Opportunity

Are you meticulous, organized, and passionate about ensuring a seamless and compliant hiring process? We are seeking a dedicated Talent Acquisition Support Specialist to join our energetic HR team. In this pivotal role, you will be instrumental in supporting our talent acquisition efforts by ensuring the integrity and completeness of our candidate data, facilitating critical background checks, and maintaining accurate records. Key Responsibilities

As a Talent Acquisition Support Specialist, you will play a crucial role in the following areas:

  • Candidate Document Collection:
  • Proactively engage with candidates to collect all necessary onboarding and pre-employment documentation in a timely and efficient manner.
  • Ensure all collected documents are accurate, complete, and adhere to company and regulatory standards.
  • Candidate Due Diligence & Background Checks:
  • Coordinate and manage comprehensive background checks, including but not limited to:
    • Financial Background Checks: Verifying financial history, credit reports, and any relevant financial declarations.
    • Character Checks: Conducting reference checks and verifying professional and personal integrity.
    • Regulatory Compliance Checks: Ensuring candidates meet specific industry and regulatory requirements (e.g., anti-money laundering, professional licenses, sanctions lists).
  • Liaise with third-party vendors and internal stakeholders to facilitate efficient check processes.
  • Red Flag & Discrepancy Escalation:
  • Rigorously review all background check results for any discrepancies, anomalies, or "red flags."
  • Promptly and clearly escalate any concerns or significant findings to the Talent Acquisition Manager or relevant HR/Legal stakeholders for further review and action.
  • Prepare concise reports detailing findings and recommended next steps.
  • Daily Tracker Updates:
  • Maintain and update detailed candidate trackers on a daily basis, ensuring real-time accuracy of candidate status, document collection progress, and background check results.
  • Generate regular reports to provide insights into recruitment support activities.
  • Document Management & System Updates:
  • Accurately and efficiently attach all collected documents and background check reports into our Workday system.
  • Ensure proper categorization and indexing of all candidate-related documentation for easy retrieval and auditing.
Requirement

  • 1–3 years of experience in HR, recruitment coordination, or compliance support
  • Strong attention to detail and accuracy in data management
  • Excellent organization and time management skills
  • Clear and professional communication skills
  • High level of discretion when handling sensitive information
  • Proficiency in Microsoft Office (especially Excel and Outlook)
  • Experience with Workday or similar HRIS is a plus
