We are looking for a dedicated Assistant / HR & Data Manager to support and manage the local entity/property with branches across Malaysia.
The incumbent is required to have strong analytical skills coupled with the ability to build a strong business partnering with all stakeholders including leadership team within Country Level and Local Level. The shortlisted candidate is required to maintain a smooth daily HR operations and activities across different departments and branches and is also expected to be able undertake data mining and make recommendations / able to present findings to Country HR as well as management in a clear and concise manner. Presentation skills both on stage and in preparation of powerful power point charts is a necessity.
Your Role
HR administration & support
-
Overseeing HR daily operation & admin team.
-
Managing on-and off-boarding administrative documents for new hires (including providing HR related orientation / induction training)

Update employee’s data HR portal (hiring, transfer, termination, promotion)

Administrate all documentation that compliance to ISO Audit and HR requirements
-
Bookeeping and HR filing – for record purposes
-
Work closely HR outsource & HR related vendors

Manage employee Leave Management System
-
Manage employee data and ensure proper accuracy in the HRIS system
Expatriate Management
-
Work closely with Admin team and Local team that are involved in the Expatriate matters.
Payroll management
-
Organise and input detailed information related to Payroll and provide instruction to Payroll vendor.

Ensure OT, Incentive, Commission figures are accurate in the payroll system
-
Ensure taxes and salary related data or matters are well executed and addressed on monthly and yearly basis.
Employee Shareholding
-
Employee shareholdings management – assisting in activating and deactivating the shares profile
-
Informing Finance on the amount received from global Shares team for them to take action
-
Communicate with the employees on Yearly Shares purchasing campaign
Internal Audit
-
Ensure all HR related activities are conducted in a compliant way in line with Internal Standards and compliance controls.

Resolve any compliance findings timely in conjunction with cross divisional topic management compliance.

Keeping Country HR on updates pertaining to employee data, compensation and benefits as well as HR related matters.
Workplace Health & Safety
-
Work closely with Office Administrator & Purchasing Analyst to ensure workplace meets the requirement of local Workplace, health and safety standards. Implements new initiatives if necessary.

Support Country HR in Crisis & Pandemic Management, ensuring Business Continuity Plans are updated and communicated accordingly

Any other tasks assigned.
Job Requirements

Tertiary education in Business Administration, Human Resource Management, Compensation & Benefits, Finance / Account or equivalent

Strong written and spoken English & Malay languages (Ability to communicate in Chinese language is bonus)

Minimum 5 years of working experience in the field of HR

Experience in handling payroll activities including SAP HR system is mandatory

Experience with working in corporate and multinational companies is preferred
-
Familiar with local labour legislation and requirements

Excellence communication and presentation skills
-
Exposure to HRIS solutions. Proficient in MS Excel
-
Meticulous and detailed-oriented are a must
-
Independent individual and ability to work in a team
-
Good interpersonal and rapport building skills, proactive and mature are important in this role
