Key Responsibilities:

Event Planning and Coordination:

  • Meet with clients to understand their event goals, themes, budgets, and preferences.
  • Develop detailed event plans and timelines, covering all logistics and arrangements.
  • Present event proposals to clients and obtain necessary approvals.
  • Coordinate with internal teams and vendors to ensure all event aspects are covered.

Venue Management:

  • Oversee all venue operations, including setup, maintenance, and breakdown.
  • Conduct site visits and ensure the venue meets client specifications.
  • Manage venue cleanliness, safety, and readiness for events.
  • Handle bookings, ensuring efficient scheduling and maximizing venue use.

Vendor Relations:

  • Source and negotiate with vendors for catering, decor, AV equipment, entertainment, and other services.
  • Build and maintain strong relationships with trusted vendors.
  • Oversee vendor agreements, timelines, and deliverables.

Logistics and Operations:

  • Organize transportation, accommodations, and other event-related logistics.
  • Manage setup logistics like seating, staging, lighting, and sound arrangements.
  • Oversee the event day, ensuring all elements run as planned.
  • Address on-site issues or emergencies quickly and effectively.

Budget Management:

  • Create and manage event budgets, ensuring cost-effective planning and execution.
  • Monitor expenses and keep events within budget.
  • Identify cost-saving opportunities while maintaining quality.

Compliance and Safety:

  • Ensure all events follow legal, health, and safety regulations.
  • Implement safety and security protocols for events and venues.
  • Address compliance and safety concerns as they arise.

Post-Event Activities:

  • Conduct post-event evaluations to assess success and areas to improve.
  • Gather feedback from clients, attendees, and staff for continuous improvement.
  • Handle follow-up tasks, like sending thank-you notes and conducting surveys.

Team Collaboration:

  • Work closely with internal teams, including marketing and sales.
  • Lead and coordinate event staff, volunteers, and temporary workers.
  • Promote a collaborative and positive work environment.

Qualifications:

  • Diploma or Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
  • Proven experience in event planning and venue management.
  • Preference given to men
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and Microsoft Office.
  • Ability to multitask and work under pressure.
  • Willingness to work evenings, weekends, and holidays as needed.
