Our client is seeking an Executive Assistant to support their Executive Director. This role offers a unique opportunity to work closely with top management, providing comprehensive administrative support while also managing junior team members and drivers.

The successful candidate will be responsible for coordinating meetings, managing schedules, preparing reports, and assisting in project management. If you are self-motivated, detail-oriented, proactive, and have excellent organisational skills, this could be the perfect role for you.

What You'll Do

As an Executive Assistant, your primary role will be to provide comprehensive support to the Executive Director. This includes managing daily schedules, coordinating travel arrangements, and handling other administrative matters. You will also manage a junior team member and driver for the Executive Director. Your responsibilities extend to assisting in project management where you will prepare necessary documentation and reports. You will act as a liaison between various stakeholders including co-workers, external personnel and the Executive Director. Additionally, you will contribute towards identifying suitable awards and grants that align with the organisation's mission.

  • Manage daily meeting schedules and appointments for the Executive Director
  • Coordinate travel itineraries and arrangements
  • Manage a junior team member and driver for the Executive Director
  • Assist in the management of projects
  • Prepare documentation, reports, meeting briefings
  • Liaise between co-workers, external personnel and the Executive Director
  • Take meeting minutes, distribute agendas, and follow up on action items
  • Assist in researching and identifying suitable awards, grants, and award opportunities that align with the organisation's mission and goals

What You Bring

The ideal candidate for this Executive Assistant position brings a wealth of experience in administration or a related field. With at least 3 years of relevant experience under your belt, you are comfortable working closely with top management. Your excellent organisational skills enable you to execute tasks efficiently while anticipating the needs of the Executive Director. Proficiency in Microsoft Office applications is essential for this role. Excellent communication skills in both English and Bahasa Malaysia are required.

  • Bachelor's Degree in Business/Administration or any related field
  • Minimum 3 years of relevant experience
  • Experience working closely with top management
  • Excellent organisational and execution skills
  • Ability to prioritise effectively and anticipate needs of the Executive Director
  • Proficient in Microsoft Office – Word, PowerPoint, and especially Excel
  • Excellent written and spoken skills in English and Bahasa Malaysia
