Main Purpose of the Job

The Executive Business Administration (Focus Market) is responsible for tracking and monitoring key tasks related to the companys focus markets. The role includes supporting sales order processes, monitoring financial transactions, and providing administrative and performance reporting support to ensure smooth operations and strategic business growth.

Key Responsibilities

  • Sales Order Generation and Closing Support
    • Assist with the generation of sales orders, ensuring accurate processing and closure until full order fulfillment.
  • Statement of Accounts Monitoring
    • Monitor and maintain up-to-date statements of accounts, ensuring accuracy and timely reporting.
  • Focus Market Transaction Monitoring
    • Track and oversee supply, order processing, payment collection, inventory management, fulfillment with third-party logistics (3PL), and financial performance (P&L, budget PO/PR).
  • Performance Reporting
    • Prepare and analyze performance reports for focus market sales and marketing activities, ensuring timely delivery and data accuracy.
  • Project Entry & Monitoring
    • Manage the entry and progress monitoring of various projects related to focus markets, ensuring timely updates and completion.
  • Meeting Arrangement & Documentation
    • Arrange and coordinate meetings, preparing relevant documents, minutes, and follow-up actions as required.
  • Pricing Governance and Setup
    • Ensure pricing governance is followed and assist in setting up prices for focus markets as per company guidelines.
  • Administrative Support
    • Provide general administrative support, including the preparation of reports, presentations, and handling other tasks as assigned by the reporting manager.


Key Performance Objectives

To be discussed and aligned with the reporting manager, the following objectives are expected:

  • 100% completion and accuracy in sales order generation and closing support.
  • 100% accuracy in Statement of Accounts monitoring.
  • 100% efficiency in Focus Market transaction monitoring (supply chain, orders, payment collection, inventory, fulfillment/3PL, financial reporting).
  • 100% on-time delivery and accuracy in performance reports for sales and marketing.
  • 100% completion of project entry and monitoring tasks.
  • 100% timely coordination of meetings and related documentation.
  • 100% compliance with pricing governance and accurate pricing setup.
  • 100% completion of other administrative support tasks as required.


Qualifications & Skills

  • Bachelors degree in Business Administration, Finance, or a related field.
  • 2+ years of experience in business administration or a similar role.
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Word).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • High attention to detail and ability to work independently.
  • Experience with financial monitoring and reporting is a plus.


Working Conditions

  • Full-time position based at the companys headquarters in Empire City, Damansara.
  • May require occasional travel or extended hours during peak periods.
