JOB PURPOSE
The Executive, Method & System, will support the development, implementation, and maintenance of key technological systems and processes to enhance operational efficiency and advance the organization’s strategic objectives. This role will work closely with the department head to ensure that all systems align with business needs, providing effective support for both internal teams and external stakeholders
JOB OVERVIEW
The Executive, Method & System, is responsible for supporting the day-to-day management of systems and processes, including the digital platforms, and assisting in the implementation of new modules and projects. This role requires collaboration with internal departments and external vendors to ensure smooth operations, system functionality, and continuous process improvements.
KEY RESPONSIBILITIES
System Development & Maintenance:
- Assist in managing digital platforms to ensure smooth functionality and prompt resolution of technical issues.
- Support ongoing maintenance of digital platforms, focusing on timely updates and optimizing user satisfaction.
- Collaborate closely with the Department Head to align system requirements with business needs.
Project Support:
- Assist in the implementation of key projects and the integration of new modules (e.g., e-invoicing).
- Support cross-functional teams to ensure projects are delivered on time, within scope, and on budget.
- Help track project milestones and coordinate communication between departments and external vendors.
Vendor Management:
- Assist in managing relationships with external vendors, ensuring they meet agreed-upon deliverables and timelines.
- Support contract negotiations and vendor performance evaluations under the supervision of the
Manager. - Ensure that payment milestones are met and vendor deliverables are aligned with the company's standards.
Process Improvement:
- Identify areas for system and process improvements, suggesting enhancements to increase efficiency and reduce costs.
- Assist in evaluating the performance of existing systems and proposing solutions that better align with operational goals.
Training & User Support:
- Provide training and technical support to consultants, investors, and internal teams on the use of the digital platforms and other systems.
- Assist in preparing user guides and training materials to enhance the understanding of system functionalities.
Documentation & Reporting:
- Maintain accurate documentation of system processes, project progress, and system issues.
- Prepare reports for the Business Head and other stakeholders, highlighting system performance and project updates.
Compliance & Risk Management:
- Ensure all systems and processes comply with internal and external regulatory requirements.
- Assist in identifying potential risks related to system performance and propose solutions to mitigate those risks
QUALIFICATIONS AND EXPERIENCE
- Bachelor's degree in Business Management, Economics, Finance, or a related field (IT qualification is not compulsory but would be an advantage).
- 1-3 years of experience in systems support, project coordination, or a related role, ideally within the financial services industry.
- Basic understanding of unit trust management or familiarity with financial systems and digital platforms is an advantage.
- Basic knowledge of project management, particularly in IT projects, is highly desirable.
- Experience working with vendors and managing system support tasks is preferred.
SKILLS & COMPETENCIES
- Strong attention to detail with excellent problem-solving skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Effective communication skills, both verbal and written, with the ability to engage with both technical and non-technical stakeholders.
- Proficiency in MS Office, basic knowledge of MS Project and MS Visio, and adept in PowerPoint and Canva for creating presentation slides and delivering simple project presentations.
- A collaborative team player with a proactive approach to tasks.
- Person-oriented with a focus on building positive relationships and supporting team dynamics
