Key Responsibilities:

  • Provide comprehensive support in executing daily human resources and administrative activities.
  • Maintain rigorous control over employee records, files, and databases, ensuring accuracy and compliance.
  • Facilitate the recruitment process, including the posting of job advertisements, interview coordination, and liaison with prospective candidates.
  • Assist in the seamless onboarding of new hires, including conducting orientation sessions and preparing necessary documentation.
  • Prepare and manage a variety of human resources documents, including employment contracts, reports, and organizational charts.
  • Oversee office supply inventory, vendor relationships, and procurement processes to support operational needs.
  • Deliver high-level administrative support, including managing executives’ schedules, organizing meetings, and handling official correspondence.
  • Address employee inquiries with discretion and professionalism, ensuring resolution of any administrative challenges.
  • Ensure organizational compliance with internal policies and applicable labor legislation.

Compliance with Local Legal Requirements:

  • Stay informed and up-to-date with Malaysian labor laws and regulations to ensure all HR practices are compliant.
  • Manage individual income tax declaration processes for employees, coordinating with relevant government bodies, including the Inland Revenue Board of Malaysia (LHDN).
  • Handle employee-related statutory contributions, such as EPF (Employees Provident Fund) and SOCSO (Social Security Organization).
  • Ensure proper documentation and submission of necessary reports and declarations to government authorities.

Qualifications:

  • A Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related discipline is required.
  • Must be fluent in Chinese.
  • Demonstrated experience in human resources or administrative roles is highly desirable.
  • Strong knowledge of Malaysian labor laws and tax regulations.
  • Superior organizational and multitasking capabilities.
  • Exceptional communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel); familiarity with HR software and databases will be an asset.
  • Ability to handle confidential information with the utmost discretion.
  • Detail-oriented, with the ability to work independently as well as collaboratively within a team environment.
