Position Summary:

  • Respond to enquiries from direct call, email and walk-in guest within 4 hours and not more than 24 hours as directed by sales and event managers
  • Prepare proposal and contract as required by sales and events manager within 4 hours and not more than 24 hours
  • Assess the physical requirements of the proposed function (no. of pax, time, and type of function) and reserve an appropriate venue for the client in the banquet reservation system.
  • Perform site inspection on rooms and function room for guest as and when required
  • Follow up with clients on proposals and agreement as directed by sales and event managers
  • To handle from start to finish bookings assigned by CM, DOS, ADOS, SSM, SM or SE of 20 persons and below.
  • Issue instructions for functions to all departments via the event order, with minimum 5 days prior to the actual event.
  • Liaise with Banquet Service, Bar Manager, Kitchen, Stewarding, Engineering, Art Department (or other) prior to the function, if required
  • If on duty, greet the client during the course of the function, to ensure that everything goes smoothly and introduce the Banquet Operations Manager.
  • Prepare reports, letters, memos, sales kit and correspondence including those of a confidential nature for the DOS / Managers (GC&E) and maintain files accordingly.
  • Answer and place telephone calls based on the company set standard and arrange appointments for the DOS / AQDOS / Managers / Executives (GC&E).
  • Project an image of discretion at any time while maintaining good relations with all sections.
  • Performs any assignments as may be delegated by CM / DOS / Managers (GC&E).

OTHER CONSIDERATIONS:

  • Professionally represent the hotel in community and industry organizations and events.
  • Participate as a team player with all departments.
  • Carries out any other reasonable duties and responsibilities as assigned
