Job Summary
  • This position is for 3months contract covering maternity staff.


General Responsibilities
  • To provide high-level and efficient administrative support, which requires tasks and responsibilities judgment to ensure day-to-day operations are well supported to the department.
  • To create, develop, and have the ability to work cooperatively with others in areas of responsibility. A proactive and initiative with the ability to keep confidential information and multitasking.
  • To be flexible, adaptable, and agile, depending on situations.
  • To act as ISO Document Controller to manage, update, and release ISO documents on time and to ensure all documents are updated and in proper file.
  • Provides administrative support to the department, including scheduling and coordinating meetings and projects with professionalism. Organize and manage office meetings internally/externally including booking of meeting rooms, and hotel accommodations for outstation staff.
  • To manage Senior GM's calendar, appointment, and travel & entertainment claims.
  • Provide administrative writing skills, proficiency in Microsoft Office, and problem-solving skills.
  • Booking of meeting room/ LCD for office meeting. Ensure the meeting room is well set-up with drinking water, and coffee/tea. Refreshments such as lunch and tea breaks are to be served upon request. The meeting room should be in a well-kept manner before and after each meeting.
  • Providing effective typing/word processing, business writing letters/memos, filing, photocopy, scanning, faxing, and ensuring receiving and outgoing daily documents including documents circulation and sales orders extraction from the web are effectively managed and channeled to the right person/department according to the deadline given.
  • Collection of mail from office mailbox and distribution to team.
  • To raise payment requisition to suppliers from the GAPIM system.
  • Log in service ticket to IT for any IT related issues e.g. problem with email, printer, computer, office phone and etc.


Functional Skills And Knowledge
  • Experience in managing Outlook calendar, room booking, and other administrative task.
  • Strong communication skills and proficiency in Microsoft Office are essential.


Education

  • Minimum Diploma/Degree in any field.
  • Minimum 4-5 years relevant work experience.
