HR Services is a key service tower within Global Business Services (GBS), supporting all AstraZeneca colleagues worldwide with HR and People-related processes—from hire to retire.
As a core member of the HR Services Team in Malaysia, you will provide high-quality support to local HR professionals and customers, with a focus on workforce administration and recruitment administration activities. You will use HR technologies—including Workday, ServiceNow case management, telephony, and others—to perform a range of activities, proactively engaging with customers and HR specialists to resolve complex issues. Collaboration with HR and IT stakeholders in India is crucial for the ongoing improvement of HR processes and technologies, enhancing our service experience.

Key Responsibilities
- Interview Scheduling & Coordination: Arrange candidate interviews and manage interview schedules and logistics, ensuring all calendars are accurately maintained.
- Documentation Management: Prepare job contracts, offer letters, and other hiring documentation in accordance with company policy.
- Candidate Communication: Professionally manage all candidate communications, including sending rejection notifications as appropriate.
- Expense Administration: Oversee candidate expense submissions and reimbursement processes.
- Query Management: Respond promptly and effectively to candidate inquiries throughout the recruitment process.
- Administrative Support: Provide comprehensive administrative assistance to Talent Acquisition partners and hiring managers throughout recruitment.
- Process Adherence: Execute HR activities following the knowledge base and established work instructions to ensure consistent, accurate, and reliable service.
- Data Quality Assurance: Conduct regular quality checks on employee data in Workday, investigate discrepancies, and coordinate with employees, managers, or local HR to resolve issues.
- New Hire Data Entry: Collaborate with Talent Acquisition teams on new hire data entry processes, including tracking requirements for externally managed resources.
- Continuous Improvement: Seek opportunities for process and technology improvements; work with Hiring/Recruitment Global Process Owners (GPO) to help prioritize and implement enhancements.
- Stamp Duty Administration: Manage employment contracts requiring stamp duties, where applicable.
- HR Process & Transaction Support: Experience supporting HR transactions, ideally with Workday.
- Data Accuracy & Attention to Detail: Commitment to high standards in data quality and process accuracy.
- Technology Literacy: Proficient in HR and service center technologies, such as case management systems, telephony, and online portals.
- Communication Skills: Fluent written and verbal communication skills in English.
- Task & Time Management: Strong ability to prioritize and manage multiple tasks efficiently in a dynamic, matrixed team environment.
- IT Skills: Proficiency in Microsoft applications and other business platforms.
- Personal Effectiveness: Advanced communication, organizational, and interpersonal skills.
- Confidentiality: Experience handling sensitive employee and HR information.
- Service Level Delivery: Demonstrated record of meeting service level agreements, including coordination with third-party providers to meet deadlines.
- Analytical Thinking: Effective problem-solving skills, with the capacity to apply creative solutions to complex challenges.
- Adaptability: Flexible and adaptable to changing priorities, processes, and business needs.
