We are looking for a highly organized and detail-oriented Vendor Management Analyst to join our team on a 4-month maternity cover. In this role, you will be responsible for managing all aspects of our vendor relationships to ensure efficient and timely outsourcing of work. You will play a critical role in ensuring the smooth operation of our vendor management process, from onboarding vendors to validating invoices and ensuring timely payouts.


What will you do

Vendor Coordination & Management:

  • Act as the primary point of contact for all vendors, handling communication, inquiries, and issue resolution.
  • Manage the outsourcing of work to vendors based on the research team’s requirements, ensuring that all tasks are assigned accurately and efficiently.
  • Monitor vendor performance, ensuring that projects are delivered on time and in accordance with agreed-upon quality standards.
  • Identify and onboard new vendors as and when necessary to meet the company's evolving needs.

Tracking & Follow-up:

  • Maintain an up-to-date tracking system for all vendor work, ensuring all due dates are met.
  • Follow up proactively with vendors on any delays or outstanding deliverables, addressing any issues that may impact project timelines.

Invoice Validation & Payment Processing:

  • Review and validate vendor invoices to ensure they are accurate and aligned with the work completed.
  • Collaborate with the finance team to cross-check payouts to vendors, ensuring all payments are processed accurately and on time.
  • Handle any discrepancies related to vendor invoices and payments, working with vendors and internal teams to resolve issues.

Reporting & Analysis:

  • Provide timely feedback to the manager on vendor performance, project status, and invoice processing to support decision-making.
  • Identify areas for improvement in the vendor management process and implement solutions to optimize efficiency.


Who you are

  • Bachelor’s degree holder from any discipline. Experience with due diligence processes or working in a due diligence company is a plus but not required.
  • Proficient English user with excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Excellent interpersonal skills, with the ability to build and maintain strong relationships with vendors.
  • Proficient in Microsoft Office Suite (Outlook, Excel, and Word).
  • Attention to detail and strong analytical skills for validating invoices and ensuring accurate payouts.
  • Ability to work independently and handle sensitive information with confidentiality.

What else do you need to know

This position is part of the Research Team and reports directly to the Research Director. The role will collaborate closely with Research Managers and team members located in Malaysia, Romania, Singapore, and the UK.
