Key Responsibilities

  • Manage customer orders from receipt to contract fulfillment, coordinating with internal departments, factories, suppliers and contractors to ensure smooth project execution, limited to supporting back end non-technical work requirements.
  • Create and manage engine PO and 3rd party PO to factory in SAP (S4HC).
  • Execute orders in accordance with contractual scope, delivery schedules, and budget requirements.
  • Coordinate with Finance on customer invoicing, milestone payments depend on the contract agreed payment terms.
  • Manage logistics and shipment activities, including transportation arrangements, shipping instructions and customer communications.
  • Prepare and review shipping, import, export and customs documentation (Form K1) to ensure accuracy and compliance.
  • Liaise with freight forwarders, vendors and warehouses to ensure timely dispatch, delivery and goods receipt.
  • Verify purchase orders, delivery documents, supplier invoices for accuracy and completeness.
  • Resolve post-delivery issues, including shipment discrepancies, shortages, and customer claims.
  • Maintain project and company documentation in compliance with corporate, statutory and regulatory requirements.
  • Support office administration, vendor management (KYP), procurement, expense tracking and budget control.
  • Drive operational efficiency through continuous process improvement and effective stakeholder coordination.

Position Qualifications

  • Bachelor’s degree in Business Administration or a related discipline.
  • At least 3 years of experience in order management, order fulfillment or project execution within an engineered solutions business environment.
  • Prior experience in the diesel engine, generator or data center backup power industry is an advantage.
  • Strong team player with excellent interpersonal, written and verbal communication skills.
  • Good understanding of Asian business cultures, regional practices and customer service principles.
  • Ability to work effectively under pressure, manage challenging situations and take ownership of order management responsibilities.
  • Highly organized and capable of managing multiple priorities and projects simultaneously.
  • Resourceful, proactive and able to adapt quickly to changing business needs.
  • Strong project tracking skills with the ability to stay informed and updated on project progress at all times.
  • Willing and able to travel when required.
  • Proficient in both English and Malay, with strong written and spoken communication skills.
  • Working knowledge of SAP Sales & Distribution (SD) module, shipping processes, logistics operations and Incoterms.
  • Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint.
  • Detail-oriented with a high level of professionalism, accuracy and accountability.
