The Account & Admin Executive is responsible for managing day-to-day administrative and accounting tasks to ensure smooth operations. This role involves handling company documentation, organizing administrative processes, and maintaining accurate financial records. You will be a key point of contact for internal teams, clients, and external vendors, ensuring that all financial and administrative procedures are handled efficiently and professionally.

Key Responsibilities:

Administrative Duties:

• Office Management: Oversee general office management, including organizing office supplies, maintaining filing systems, and ensuring office cleanliness and functionality.
• Document Management: Prepare and maintain company documents such as contracts, invoices, purchase orders, and reports.
• Communication: Handle internal and external communication, including phone calls, emails, and correspondence with clients, vendors, and suppliers.
• Scheduling: Coordinate meetings, appointments, and travel arrangements for the management team.
• Inventory Control: Monitor and manage office supplies, ensuring necessary materials are stocked and reordered when necessary.
• Support HR Functions: Assist with HR tasks like employee on-boarding, attendance tracking, and leave management.

Accounting Duties:

• Bookkeeping: Maintain accurate financial records, including daily transactions, payments, and receipts.
• Accounts Payable/Receivable: Process invoices, issue payments, and follow up on outstanding accounts.
• Bank Reconciliation: Perform regular bank reconciliations to ensure accurate financial reporting.
• Payroll Processing: Assist in payroll processing, ensuring employees are paid accurately and on time.
• Financial Reporting: Prepare monthly financial statements and reports, including balance sheets, income statements, and cash flow statements.
• Tax & Compliance: Ensure compliance with all tax and regulatory requirements, including preparing and filing tax returns, and liaising with auditors when required.

Qualifications:

• Education: Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
• Experience:
• 2+ years of experience in a similar role, handling both administrative and accounting functions.
• Experience with accounting software (e.g. SQL) is essential.

Technical Skills:
• Proficiency in Microsoft Office Suite, especially Excel and Word.
• Familiarity with financial and accounting software.

Soft Skills:
• Strong organizational and multitasking abilities.
• Excellent communication skills, both written and verbal.
• High attention to detail and accuracy in financial reporting.
• Ability to work independently and as part of a team.
• Problem-solving mindset with the ability to manage time effectively.
