Objectives of the Position
Fulfil the role of Business Travel Specialist for the organization’s Business Management Travel Services Team, by providing travel support for business travel related functions and tasks.
Main Tasks
Primary contact for the country’s organization on travel-related topics, focusing on resolving complex issues and ensuring efficient communication and service delivery.Provide support to Regional Travel Manager by managing the complete business travel process, addressing the travel needs and requirements of the country, and ensuring that all operations align with organizational policies and best practices.
Accountable for managing responsibilities related to external stakeholders within the country cluster, including inquiries regarding traveler profiles, invoice questions, and the reconciliation of vendor invoices.
Manage relationships with internal and external stakeholders, to align on travel requirements and ensure successful implementation of travel initiatives.
Support and provide guidance to Travel Arrangers and travelers on policies, procedures, and best practices to enhance compliance and efficiency in travel operations.
Conduct regular service reviews with the country’s travel service providers, analyzing performance metrics and service delivery to identify areas for improvement, ensure compliance with contractual obligations, and foster strong partnerships that enhance the overall travel experience for stakeholders
Develop and implement enhanced reconciliation processes for vendor invoicing and payments, ensuring accuracy and compliance with financial regulations.
Take the lead in monitoring local service levels by analyzing feedback from travel arrangers and travelers on service provider performance. Proactively identify trends and issues , and when necessary, escalate these matters to the Regional Travel Manager, ensuring effective resolutions and driving strategic enhancements to service delivery.
Take the lead in resolving issues with travel service providers and vendors, ensuring timely and effective solutions to operational challenges.
Primary point of operational communication and escalation for travel-related issues, effectively managing relationships with stakeholders at various levels. By facilitating clear and timely communication, you will ensure that concerns are addressed promptly and that stakeholders are kept informed, while also providing insights to support decision-making and enhance the overall efficiency of travel operations.
Minimum Education and Qualification Required for the Position
Tertiary qualifications in Travel and tourism or related field (Diploma)
At least 5 years of working experience
Previous experience in travel management / hospitality industry is encouraged to apply
Proven experience in administration or operational support, demonstrating organizational skills and attention to detail.
Excellent verbal and written communication skills to effectively interact with internal teams and external stakeholders.
Language: English (Main), Japanese (Main). Preference: Mandarin / Cantonese (read / write)
