Job summary:

Support the planning and order management process, ensuring that inventory is efficiently replenished to meet customer demand. Key responsibilities include the creation and management of Purchase Orders (PO), Stock Transfer Orders (STO), and Sales Orders (SO), as well as collaborating with cross-functional teams to ensure seamless coordination between the warehouse/Tiong Nam and other departments, facilitating timely and accurate order fulfilment.

Job Responsibilities:

  • Create PO, STO, and SO:
  • Create and process Purchase Orders (PO), Stock Transfer Orders (STO), and Sales Orders (SO) based on inventory needs
  • Ensure accuracy of orders, including quantity, item codes, and delivery schedules.
  • Consolidate PO/STO/SO and Provide to Warehouse for Vessel Booking:
  • Consolidate all POs, STOs, and SOs generated on a daily basis.
  • Provide the consolidated list of orders to the warehouse/ Tiong Nam team to ensure timely vessel booking, thus ensuring smooth order fulfilment and meeting delivery schedules.
  • Processing Invoices:
  • Assist in processing invoices
  • Work with the finance team to ensure accurate invoicing and resolve discrepancies promptly.
  • Coordinate with Cross-Department Teams for Order Creation:
  • Collaborate with sales, procurement, and other internal teams to gather required information for order creation and ensure all relevant details are captured accurately.
  • Communicate any changes or updates to orders and inventory levels to relevant departments in a timely manner.
  • Coordinate Closely with the Warehouse Team:
  • Work directly with the warehouse/Tiong Nam team to ensure that inventory is correctly stored, and order preparation is aligned with the expected delivery timelines.
  • Ensure that the warehouse/Tiong Nam team has the necessary documentation to fulfil orders and resolve any issues related to stock availability or discrepancies.
  • Ad-Hoc Tasks:
  • Perform any ad-hoc tasks as requested by the relevant stakeholders.
  • Assist in resolving any operational issues that arise in the daily management of inventory or order fulfilment.


Job Requirements:

  • Minimum SPM Certificate or Diploma holder.
  • To be self-reliant and carry out duties under minimal supervision.
