Job Description
The Company Secretarial Assistant is responsible for assisting in various secretarial tasks to ensure compliance and smooth operations within the Board and its committees.

The Company Secretarial Assistant is responsible for assisting in various secretarial tasks to ensure compliance and smooth operations within the Board and its committees.
Responsibilities
- Assist the Group Company Secretary in handling company secretarial matters for the private entities, and joint ventures independently.
- Prepare and circulate Directors’ Circular Resolutions.
- Organize and facilitate Board and Board Committee meetings for the subsidiaries, as well as general meetings, and prepare related board papers, minutes, and materials.
- Prepare and lodge all statutory documents within the required statutory period to SSM, and update statutory records to ensure compliance with relevant authorities.
- Manage Board members' affairs, including monitoring their benefits and entitlements, and issuing Service Invoices for Directors’ fees.
- Assist the Group Company Secretary in preparing documents for the AGM of the listed entity, including venue arrangements and other related logistics.
- Undertake other ad hoc projects as assigned.
- A minimum of 5 years of hands-on company secretarial experience in a listed company or corporate consultancy.
- MAICSA or MACS membership is an advantage.
- Holds a Bachelor's degree in Corporate Administration, or possesses professional qualifications such as ICSA or LLB.
- Experience in providing services to both private limited and public listed companies.
- Well-versed in the Companies Act and other statutory requirements, as well as business rules and regulations related to corporate secretarial functions. Familiarity with

- Strong interpersonal and communication skills.
- Demonstrated proficiency in minutes writing.
