Position Overview
The Corporate Document Administrator is responsible for managing all company documents and records, including collection, organization, storage, and preservation of important company files. This role requires a Malaysian secretarial certification and a thorough understanding of local regulations and document management processes.
Key Responsibilities
- Document Management
- Organize, classify, and archive company documents, contracts, and records.
- Develop and improve document management procedures to ensure completeness, accuracy, and easy retrieval.
- Document Security and Compliance
- Ensure document management complies with Malaysian laws and company policies.
- Monitor access to sensitive documents and maintain data security.
- Document Updates and Tracking
- Regularly update records to ensure the most current information is stored.
- Track and manage the renewal or update of expiring documents, such as contracts and legal records.
- Coordination and Communication
- Collaborate with various departments to coordinate document submission and archiving.
- Provide document-related support and information to management as required.
- Training and Improvement
- Organize training sessions to enhance document management awareness and skills among employees.
Key Requirements
- Education and Certification
- Diploma or higher education, preferably in secretarial studies or document management.
- Must hold a Malaysian secretarial certification (e.g., ICSA or other relevant qualifications).
- Work Experience
- Minimum of 2 years of experience in corporate document management or related roles, preferably in a large organization.
- Skills
- Proficiency in document management systems and related software.
- Strong organizational, communication, and attention-to-detail skills.
- Familiarity with Malaysian corporate laws and document management regulations.
- Language Proficiency
- Fluent in English and Malay; proficiency in Mandarin is an advantage.
