Huntsman Corporation is now looking for a dynamic individual as a Facilities and Administration Manager.

The Facilities and Administration Manager at our Global Business Services (GBS) Hub in Petaling Jaya will play a critical role in ensuring smooth and efficient operations across multiple functions. Our GBS hub in Petaling Jaya is comprised of a talented and diverse group, providing best-in-class services to businesses and functions both globally and regionally.

Their responsibilities will include overseeing facilities administrators and support staff, implementing Environment Safety and Health (EHS) Zero Harm Programs, coordinating the Business Continuity Plan (BCP) to ensure operational resilience, partnering with stakeholders to create a positive and engaging work environment, and delivering best-in-class administrative management services. This includes requisitions and vendor management, space optimization, facility maintenance, and visitor and travel management.

They will work closely with the GBS Hub Leader, Human Resources, and the Site Leadership Team to make a significant impact.

The ideal candidate will be located in Kuala Lumpur, Malaysia.

As a Facilities And Administration Manager You Will

  • Environment Health and Safety
  • Collaborate with Regional EHS Function Lead - work together to develop implement EHS strategy and programs to ensure employee safety and compliance with Huntsman safety standards and local regulations.
  • Lead EHS Committee - ensure key priorities are implemented in a timely manner.
  • Coordinate with Building Management - integrate wider EHS programs effectively.
  • Ensure Physical Security of the Site - maintain and enhance site security measures.
  • Facility Management – Operations, Vendor Management, Travel Management
  • Operate Cost-Effective Processes and respond to business requests efficiently.
  • Manage Relationships with 3rd Party Service Providers and maintain relationships in line with Huntsman's business code of conduct and financial systems.
  • Proactively benchmark performance and implement best practices within facilities operations such as automation and process improvements.
  • Ensure maintenance of facilities and operational efficiency.
  • Oversee projects such as expansions or modifications as and when required.
  • Supervise / manage mobile phones, corporate credit cards and parking lot allocation management.
  • Ensure site compliance and keep all licenses up to date.
  • Work with HR to support onboarding and leaver processes.
  • Supervise / manage IT Peripherals and Distribution.
  • Participate in Event Planning - oversee the appropriate setup for events and meeting facilities.
  • Ensure seamless Visitor Management by handling travel, hotel, visa arrangements, etc.
  • Actively ensure that outsourced services (e.g. janitors) meet our needs and adhere to established KPIs.
  • Be reachable after office hours to handle ad-hoc incidents
  • Maintain strong relationships with building management, authorities, and contractors.
  • Ensure purchase requisitions, goods receipts and accruals are up to date in line with company procedures.
  • Partner with accounting to ensure assets are recorded / tagged in line with company procedures.
  • Work with Hub Leader and develop budget and implement cost reviews to ensure spending aligns with strategic objectives.
  • Perform and support other general duties as assigned from time to time.
  • Business Continuity and Records Management
  • Collaborate with GBS Hub Leader, Site Leadership Team, and Functional/Department Heads to facilitate robust Business Continuity Plans (BCP).
  • Establish periodic reviews, updates, and testing of BCP. Regularly assess and improve the BCP to maintain its effectiveness.
  • Act as the primary contact during significant incidents at the site.
  • Serve as the Site Records Coordinator and implement and oversee the records management program.
  • Liaise with Corporate Records Manager to ensure compliance with corporate policies and procedures.
  • Leadership and Supervision
  • Proactively manage relationships with the administrative team, office associates, guests, and stakeholders.
  • Coach team members and address process gaps, identify inefficiencies, and embed a culture of continuous improvement and safety in the organization.
  • Support long-term career development and retention of key talent through mentoring, guidance, and feedback.

What skills and experiences are we looking for?

  • Bachelor’s degree in Operations, Facilities Management, Business Administration or any related field
  • Minimum 5-8 years’ experience as a Manager in facilities management
  • Experience in relevant fields such as building management systems
  • Strong organizational skills
  • Knowledge of EHS and building regulations
  • Past experience in BCP, records management is an added advantage
  • Past experience in corporate, multi-function or Global Business Servies setting is an added advantage
  • Vendor management
  • Proficient with Microsoft Office Suite
  • Good Communication and People skills
  • Problem-solving skills
