Job Description:
The Human Resources Executive (Recruitment) will play a critical role in managing the full recruitment lifecycle to ensure the university attracts and retains top talent across academic and administrative roles. This role will also support in the administration of visa processing, teaching permits for expatriate staff, and daily HR operations to contribute to the smooth functioning of the university.
Key Responsibilities:
Recruitment and Talent Acquisition:
- Manage the full cycle of the recruitment process, including:
- Drafting and posting job advertisements on appropriate platforms.
- Screening resumes and shortlisting candidates for interviews.
- Coordinating interviews with hiring managers.
- Conducting initial interviews and evaluating candidates.
- Ensuring background checks and reference verifications are completed.
- Managing offer letters, employment contracts, and other documentation.
- Work closely with department heads to understand their hiring needs and workforce planning.
- Build and maintain a talent pool for future recruitment needs.
- Develop strategies to attract quality candidates, including liaising with recruitment agencies and using social media channels for talent acquisition.
- Conduct onboarding sessions for new hires and ensure they are well integrated into the university.
Visa and Teaching Permit Processing:
- Assist expatriate staff with visa applications, renewals, and cancellations, ensuring compliance with Malaysian immigration regulations.
- Prepare and submit applications for teaching permits for academic staff, coordinating with the relevant authorities to ensure timely processing.
- Act as the primary point of contact for expatriate staff on visa and permit matters.
HR Operations Support:
- Provide support in day-to-day HR operations such as employee relations, benefits administration, and employee data management.
- Assist in maintaining accurate employee records, including the timely update of staff movements, personal details, and contract changes.
- Support the HR Manager and HR team in implementing HR policies and initiatives.
Participate in the organization of employee engagement and welfare activities.
Other Responsibilities:
- Prepare monthly and ad-hoc HR reports related to recruitment, visa statuses, and employee movement.
- Assist in other HR projects as required by the HR Manager.
- Ensure compliance with all HR-related legal and regulatory requirements.
Skills:
- Familiarity with Malaysian labour laws, particularly related to immigration and work permits.
- Experience in managing expatriate work visas and teaching permits is preferred.
- Excellent organizational and communication skills.
- Ability to manage multiple tasks and work in a fast-paced environment.
- High attention to detail and accuracy in handling HR documentation.
- Proficiency in Microsoft Office Suite and HRIS systems.
