Business Need / Purpose of Role

To achieve and maintain excellence in the Regional Operations Centre (ROC) activities. Meeting Inchcape’s set KPIs (Data integrity, Business critical time limits, Final DA invoicing dispatch time and accuracy, achieving Local and Regional quality Objectives). The ROC activities consist of many different segments around Commercial and Reconciliation part of the service delivery as port agent. The Operations Executive shall primarily handle and be responsible for port call communications, coordination, reporting functions, single point of contact as allocated to them by their managers, in an accurate, professional, and timely manner.

The team will be required to support local port agent in transactional and tactical tasks and to liaise with multiple parties such as port authorities, terminal representatives, principals, vessel masters, local port offices (internal and external) including partner/sub agent/vendors.

This is a desk job so boarding vessels is not and will not be a requirement. It is important to note that the reporting activities is time critical and require attention to details that could impact results and involves a lot of communications with multiple stakeholders to retrieve and disseminate information.

This position involved ensuring Quality Management System standards are implemented consistently in all operational reporting activities, monitoring the required operational excellence in the ROC.

Duties and Responsibilities:

  • The responsibilities includes: port call planning activities such as and not limited to sending arrival notice, advising vessels on port information, working with Master to determine vessel program, creating proforma, liaising with vendor on services delivery.
  • For the pre arrival, arrival, progress, departure and post departure reporting activities, the role shall enter critical operational information into databases/systems accurately and documents for formalities must be updated based on local authority requirements.
  • Ensure consistency, security, and accessibility of operations data and information.
  • Coordinating with other business partners like terminal, reports audience (customers) and vessels to seek operational information.
  • Reach out to overseas ports/terminals representatives and retrieve data from individual ports/terminals’ systems to complete reports.
  • The team may also be required to take on additional responsibilities i.e. managing vessel service coordination with vendors, operation coordination with vessels, shipping documentations covering all Asia Pacific countries’ operation.

Knowledge, Skills, And Abilities

  • General knowledge of shipping operations, objectives, strategies, process and information flow.
  • Strong written and verbal communication skills to effectively relate data to coworkers.
  • Tendency to pay close attention to small details that could impact results.
  • Communication skills to engage terminal representatives, principal and/or vessels.
  • Must be professional in conduct and practice, and also reliable as each report are time critical.
  • Creative, responsive and adaptive in a dynamic environment

Education/Experience:

  • Degree in Maritime studies or equivalent
  • At least three years’ experience in Shipping Operations
