About the Role
We are looking for an Office & HR Administrator who is service-oriented, highly organized, an effective communicator, and a collaborative team player, committed to supporting smooth office operations and strengthening our people-related processes.
Responsible for a portfolio of administrative and HR functions, the Office & HR Administrator plays a key role in supporting the Company’s operational and staffing objectives. This role oversees day-to-day office management, coordinates HR activities, facilitates clear communication across teams, and ensures that both immediate and long-term administrative and HR needs are met.
Your key responsibilities will include:
Office Administration
- Oversee day-to-day office maintenance and coordinate with Building Management for repairs and fault reporting.
- Ensure that office facilities (e.g., air-conditioning, pest control, water filters, and photocopiers) are regularly serviced, and that cleanliness and hygiene standards are upheld through coordination with service vendors.
- Manage procurement and logistics processes, including obtaining quotations, raising purchase requests and purchase orders, verifying vendor invoices.
- Monitor and maintain adequate stock levels of office and pantry supplies, ensuring timely replenishment.
- Coordinate meeting arrangements and provide administrative support for internal meetings, audits, and business events.
- Maintain and update office asset inventory, including equipment tagging and record keeping.
- Assist with administrative tasks such as printing, lamination signage, and other office-related support as required.
- Handle day-to-day administrative task such as filing and managing correspondence.
- Perform additional office administration duties and ad-hoc assignments as directed
HR Administration
- Coordinate administrative arrangements for employee onboarding and offboarding employees, including preparation of welcome kits and workstation set up.
- Liaise with Building Management on access card applications and maintenance of access records and review employee car park applications.
- Conduct office orientation for new joiners, including tours, fire exit briefings, and safety procedure.
- Support employee engagement activities and staff events.
- Review monthly employee flexible benefits expense claims.
- Coordinate employees’ gifts for occasions such as newborns, hospitalisation, or condolences.
- Coordinate interview arrangements and provide administrative support for recruitment activities

To be successful in this role, you will need:
- Business administration related qualification and or minimum of 1 to 3 years of relevant experience office administration and HR support.
- Proficient in document management, inventory tracking, and procurement processes.
- Experience in meeting organization and small event coordination.
- Effective verbal and written communication skills.
- Strong problem-solving skills with a hands-on and proactive approach to daily operations.
- Attentive to detail and committed to delivering timely and accurate work.
- High level of integrity, responsibility, and commitment to work excellence.
