JOB DESCRIPTION :

  • Typing of letters, proposal and quotations. Sending promotional materials to prospective customers, consultants and developers.
  • Coordinate with Department of Occupational Safety & Health and Service Quality Auditor for annual inspection and updating of info into system upon completion of inspection.
  • Assist Service Sales Personnel on customer payment collection to improve DSO (Days Sales Outstanding).
  • Preparing and managing the maintenance contract including new contract and renewal of existing contract.
  • Update the Project value and building data into VIEW system for all 3rd party units and NI units.
  • Issuing and keep tracking all the Purchase Requisition Note for repair job to avoid job delay and follow-up the status from tine to time with HQ.
  • Assist sales personnel in preparation of proposal and quotations for customers. Sending promotional materials to prospective customers, consultants and developers.
  • Overall responsible for office administrative works such as receiving incoming calls including taking relevant messages, sorting of daily incoming and outgoing correspondences, filing of all documentations including maintenance agreement and etc.
  • Monitoring and recording of all sales enquiries and service call-backs received via telephone.
  • Monitoring and keeps tracking of spare parts inventory, PPE and office utilities to ensure stock availability for daily site operation.
  • To key in data from dockets into VIEW systems (servicing) and clean up VIEW data.
  • Assist and checking if staff claims before submission to HQ for processing.
  • Assist HR personnel on new staff reporting for work, resigned staff on handover of all company assets and coordinate all training activities at branch offices.
  • To check and follows up payments for vendors with HQ team.
  • To perform any other function and tasks which may be assigned from time to time.

JOB REQUIREMENTS:

  • Prefers a university graduate in any administrative field
  • Highly Independent with a sense of urgency, responsibility, and result-oriented
  • Computer literacy
